Office move

Office moves in Munich — out on Friday evening, working on Monday morning

Offices, medical practices, law firms and warehouses are moved outside your business hours. Workstations are dismantled with numbered parts and rebuilt in the same configuration.

With a company move the price is rarely the problem — downtime is. An office that cannot work on Monday costs more than the entire move. That is why we schedule company moves in Munich almost always across a weekend: Friday evening for dismantling and loading, Saturday for transport and rebuilding, Sunday for whatever is still missing. Our largest completed job covered roughly 700 linear metres of shelving, about 40 office workstations.

What does an office move in Munich cost?

An office move is priced by volume like a residential move, plus a weekend surcharge: 50 % on Saturdays, and — where legally permitted and only by arrangement — double rate on Sundays. As a rough guide, one workstation with a desk, pedestal, chair and a share of storage is about 3 to 5 m³. Twenty workstations therefore sit in the size range of a house move. The price becomes binding after a walk-through of both the old and the new premises.

How do you move without downtime?

With numbering. Every workstation gets a number, every piece of furniture and every crate belonging to it gets the same number, and at the new address a plan on each door says which numbers go where. It sounds trivial and it is the whole difference: one employee hunting for their pedestal on Monday morning loses half an hour — forty employees lose a working day. We draw up the numbering with you during the walk-through.

What happens to file archives?

Files travel in lockable archive boxes, numbered per linear metre of shelving and signed for at loading and unloading. The order is preserved, so an archive goes back on the shelves in the same sequence. For practices and law firms that is not a comfort but a requirement: patient and client files are subject to professional confidentiality and the GDPR, and an open box in a stairwell is neither.

What is different about moving a medical practice?

Three things: equipment, files and appointments. We only transport medical devices where the manufacturer or a service engineer handles disconnection and reconnection — we move them, we do not calibrate them. Files run through the sealed archive transport. And the appointment book sets the window: a practice moves between the last patient on Friday and the first on Monday, not at some point.

How far ahead must a company move be planned?

Four to six weeks, and that is the requirement, not a buffer. Into it fall the walk-through of both sites, the numbering plan, coordination with the landlord and building management, no-parking zones for both addresses with roughly three weeks' lead time, and the question of who disconnects and reconnects the IT. Call four weeks ahead and you get a date. Call ten days ahead and you get a compromise.

Do you handle the IT as well?

We transport computers, monitors and network hardware securely and rebuild workstations mechanically. Unplugging and replugging cables we do; configuring servers and networks we do not — that belongs to your IT team or provider. In practice it works well for the IT people to arrive on Saturday afternoon, once the furniture is standing and the cables are laid.

What we do not move on company jobs

Industrial machinery, safes and anything needing a crane or removal over the facade. A mid-sized safe weighs several hundred kilos and needs heavy-lift equipment we do not keep. Server racks we move empty, not populated. The benchmark is the same as for a private move: what two people can move safely by hand or with straps.

Liability on company moves

The same statutory liability applies as for private moves: 620 euro per cubic metre of loading space under § 451e HGB. For office furniture that is usually enough; for server hardware, measuring equipment or a practice fit-out it usually is not. For those items we arrange additional transport insurance at the declared value — sensibly for the specific devices rather than as a blanket uplift on the whole move.

Worth knowing

Numbering plan

Every workstation, every piece of furniture, every crate the same number. The plan hangs on each door at the new site.

The weekend window

Saturdays carry a 50 % surcharge. It pays for itself the moment it saves a lost working day.

What does a move in Munich cost?

A move in Munich typically costs between 450 – 850 for one room and 2.400 – 4.500 for a house of 140 to 200 square metres. The price comes from the volume in cubic metres, the crew and time needed, the distance, the floor and the carrying distance. Other companies give you these numbers on the phone. We put them here.

Rule of thumb for volume: roughly 0.3 to 0.5 m³ of goods per square metre of living space. A 70 m² flat comes to about 21 to 35 m³. Sparsely furnished tends to the lower figure; a full cellar and attic to the upper one.

All figures are market orientation values for Munich and the surrounding area — not offers. Your binding fixed price follows a short survey on site or by photo and video; the fixed-price survey service costs 290. Additional scope is charged only after prior agreement, never sprung on you on moving day.

On Sundays and public holidays: § 9 ArbZG prohibits employing staff on Sundays and public holidays outside the licensed exceptions. Sunday and holiday jobs are therefore only possible by arrangement and only where the law allows — at double rate.

Common questions about office moves

How long does an office move with 20 workstations take?

Realistically one weekend: Friday evening dismantling and loading, Saturday transport and rebuilding, Sunday for finishing. That assumes the numbering is done beforehand and both addresses have a no-parking zone. Without those two, a weekend quickly becomes a week at half strength.

Can you move outside business hours?

Yes, and for company moves that is the normal case. Evenings and Saturdays without difficulty — Saturdays with a 50 % surcharge. Sunday and public-holiday jobs are only possible by arrangement and only where the law allows; § 9 ArbZG prohibits employing staff on those days outside the licensed exceptions.

Who is liable for company data on transported computers?

For physical transport damage, § 451e HGB applies at 620 € per cubic metre. For the data itself nobody is liable but you — no moving company replaces a database. Take backups before the move, and carry media with especially sensitive content personally rather than loading them.

Do we need a no-parking zone at both sites?

In Munich almost always, and more often at commercial addresses than residential ones: loading bays are occupied on weekdays and courtyards are frequently closed to delivery traffic. The zone costs 300 per address and needs roughly three weeks at the Kreisverwaltungsreferat.

Do you rebuild office furniture too?

Yes, on company moves that is practically always part of it. Desks, partitions, shelving systems and cupboard walls are dismantled, transported and rebuilt in the same configuration. The effort is in the region of 200 – 600 depending on scope, and is itemised separately in the quote.

What happens to furniture that is not coming along?

We dispose of it through the company's sister brand, in the same job and without a second journey. On an office move that is regularly a substantial share of the inventory — old filing cabinets, retired chairs, waste paper from the archive. Booking both together is noticeably cheaper than two separate jobs.

Can we move in stages?

Yes, and for larger sites that is often the better answer: department by department across several weekends, so the whole company is never idle at once. It raises the total cost slightly, because travel is incurred more than once, and it lowers the risk considerably.

Do you issue an invoice with VAT shown?

Yes. For business customers we show VAT so you can reclaim it as input tax. At the top of this page you can switch every price to net display — the choice persists for your whole visit.

For a quote you can rely on we need a walk-through of both sites. Call us — four to six weeks before your preferred date is the right moment.
